Government school registration documents

For government schools, the Department of Education Services publishes the registration guidelines and online registration forms. DES states that applications must be completed through its official Registration Portal and that schools are not involved in approvals for placement. The 2026 guidelines also say applications for children on a visitor's visa should not be submitted.

  • Have the long-version birth/adoption certificate ready before starting the DES registration form.
  • Prepare immunisation records, including a cover page with the child's name.
  • Upload proof of immigration status; DES examples include work permit, permanent residency, RERC, civil servant contract, Caymanian status documents, refugee/asylum documents, or other supporting evidence.
  • Prepare two different proof-of-address documents; if residence and utility bills are not in the parent/guardian name, DES references a Parent Affidavit of Residency.
  • Where relevant, include court-stamped custody/guardianship documents and medical, psychological, educational psychologist, therapeutic, or specialist recommendations.

Private school application documents

Private schools publish their own admissions requirements. Cayman International School's application page, for example, lists passport face page, proof of Cayman residency or immigration status, recent child photo, immunisation record, academic records, high-school transcripts where applicable, and confidential student reference material. Other private schools may ask for different forms, priority evidence, assessments, deposits, or interviews.

Proof of residence and catchment caution

Government school placement is tied to catchment/residence rules. DES publishes school boundaries and states that falsification of address, custodial information, or fraudulent means to obtain enrolment or assignment can cause immediate rejection, subject to applicable laws and policies.

  • Do not sign a lease solely for a school until you understand the current catchment and registration rules.
  • Keep address documents current and consistent; mismatched names or addresses can slow review.
  • If housing is temporary, ask DES or the school what proof is acceptable and what must be updated later.
  • DES says the government system does not keep waiting lists except for Lighthouse School, and late applications are subject to space availability and processing delays.
  • DES states that if a student does not attend within 30 school days of confirmed placement, the placement is forfeited and a new application is required with placement not guaranteed.
  • For private schools, address may matter less for eligibility but still affects daily commute, after-care, and school-run feasibility.

Learning support, medical needs, and honest disclosure

Relocating families should disclose learning, behavioural, medical, therapy, or additional-support needs early. The point is not to weaken an application; it is to find a school that can actually support the child and avoid a painful mismatch after arrival.

  • Include current psychoeducational assessments, IEPs, occupational/speech/behavioural therapy notes, and specialist recommendations where they exist.
  • Ask whether the school has capacity for the support your child needs before paying non-refundable fees.
  • For allergies, medication, chronic conditions, or emergency plans, prepare doctor letters and medication instructions before leaving your current country.
  • If English-language support is needed, ask how language readiness is assessed and supported.

A practical family document workflow

The cleanest approach is to prepare once, then customize. Build the master folder before applications open, name files clearly, and track which school received which version. This reduces errors when several schools request similar documents in different portals.

  • Create folders for identity, immigration, residence, academics, health, support, custody/consent, photos, fees, and school-specific forms.
  • Scan documents in PDF or clear image formats; DES states uploaded documents can include pdf, doc, docx, jpg, jpeg, png, and gif formats.
  • Rename files with child name, document type, and date, for example: Surname-Passport-2026.pdf.
  • Keep originals accessible for arrival, assessments, school office checks, and immigration or healthcare follow-up.
  • Record every submission date, payment receipt, reference request, assessment date, and decision deadline in one tracker.

Before paying application fees or uploading sensitive records, ask admissions teams direct questions. The best schools will be clear about availability, requirements, timelines, and what happens if immigration, housing, or relocation dates shift.

  • Which documents are mandatory before review, and which can follow after acceptance or arrival?
  • Do references need to come directly from the current school?
  • Can assessments be completed remotely, and what subjects or skills are assessed?
  • What fees or deposits are non-refundable, and what happens if a work permit or move date changes?
  • For government school registration, which DES process applies to our child's status and address situation?
