Short answer: create one family evidence file
Do not let the dependant application, school application, health-insurance setup, and medical-record handoff become four separate stories. Use one dated file that keeps names, relationships, dates, addresses, employer details, school route, insurance route, and medical records consistent across every system.
- Start with identity, relationship, passport, custody or consent, permit, school, medical, insurance, housing, payroll, and emergency-cash evidence.
- Mark each item as confirmed, requested, submitted, accepted, or still dependent on another decision.
- Keep a current PDF folder and a paper carry-on folder so school and healthcare records do not travel in shipped boxes.

The three-file problem

Core identity and relationship evidence
Build the file around facts that appear everywhere: legal names, dates of birth, passport numbers, relationship documents, custody or guardianship evidence where relevant, address plan, employer name, school route, insurance route, and arrival timing.
- Check that passport names match birth, marriage, civil-partnership, adoption, custody, school, medical, and insurance records.
- Keep certified translations or certified copies requirements separate from the ordinary scan folder if they may be needed.
- Create a mismatch log for name changes, hyphenated surnames, previous passports, or custody/consent details.
- Do not assume one agency's acceptance means every school, insurer, bank, employer, or provider will accept the same form of evidence.
Dependant immigration and income evidence

For school planning, separate DES government-school registration evidence from private-school application evidence. Keep application forms, passports, birth records, transcripts, report cards, references, residence evidence, custody or consent documents, screening requirements, SEN/IEP records, and withdrawal timing together.
- Ask each school or DES contact which documents must be originals, certified copies, scans, or school-issued records.
- Track year-group, start-date, waitlist, assessment, residence, and school-medical dependencies in one table.
- Keep withdrawal notices and final transcripts from the overseas school in the same folder as Cayman school requirements.
- Do not treat a tour, application receipt, or warm conversation as a seat-availability or admission-likelihood claim.
Health insurance, medical, and vaccination file
Health Insurance Commission context, employer benefits, insurer rules, and school health requirements should be checked before dependants travel. The practical file should include insurance effective dates, dependant premium treatment, cards or enrolment process, vaccination records, school-entry screening evidence, medical summaries, prescriptions, allergies, and specialist letters.

Prescriptions, renewal dates, and import caution
Families with regular medication, allergies, chronic conditions, school medicines, or specialist follow-up should keep prescription continuity inside the same file as dependant status, school health records, and insurance renewal. A school can need health forms, a pharmacy can need prescription evidence, an insurer can need claim support, and Customs questions can arise before the family has time to rebuild records locally.

- Keep lease, temporary-housing, utility, internet, parking, transport, and emergency-contact evidence beside the school route.
- For government-school planning, keep residence or boundary evidence separate from private-school application evidence.
- For private-school planning, check whether the lease or temporary address affects commute, transport, after-care, and deposit timing.
- Delay non-refundable commitments if the school, dependant, insurance, housing, or payroll file still has contradictions.
Payroll, benefits, and first-90-days guardrails
The family file should not stop at approval evidence. Add payroll cutoff, first pay date, bank-account path, health-insurance deductions, school deposits, rent and utility deposits, medical out-of-pocket reserve, transport costs, and a fallback payment route.

Before sending files to employers, schools, insurers, advisers, or service providers, compare the same facts across every document. The goal is not to over-polish; it is to catch avoidable mismatches before they slow several systems at once.
- Names, dates of birth, passport numbers, relationships, addresses, phone numbers, employer names, start dates, and arrival dates match.
- The number of dependants is consistent across income evidence, insurance premiums, school applications, housing plans, and cash runway.
- School start dates do not assume insurance, medical records, screening, housing, or dependant status that is still pending.
- Every unresolved item has an owner, a next action, a due date, and a consequence if it slips.
