Keep twelve lanes distinct: property and owner identity; authority and business questions; tenant and agent verification; written lease; stamp duty; deposit and rent money; condition and inventory; strata and utilities; access, repairs and suppliers; personal data and security; insurance, incidents and storms; and renewal, default, move-out and closeout. The purpose is not to decide the legal result. It is to preserve the facts, assign each open question to the right professional or authority and prevent informal messages from becoming the only record.

Fix the exact property, owner, letting model and responsible people
Record the island, address, block and parcel or strata lot, included parking and storage, registered or contracting owner, authorized signatory, agent or property manager, intended household use, furnished status, proposed term, permitted occupants, pets, utilities, strata context and availability date. Ask Cayman counsel which ownership, company, trust, estate, mortgage, strata or power-of-attorney records are needed for the exact letting. A supplied document should remain attributed to its source and date rather than being treated as a legal conclusion.

Verify applicants and payments without over-collecting personal data
Define a proportionate applicant file before requesting documents: identity and contact evidence, proposed occupants, employment or income evidence, references, move date, pets, vehicles and any condition that genuinely affects the tenancy. Apply consistent written criteria with Cayman legal advice. RCIPS has warned about rental scams involving people posing as landlords or managers, copied listings, pressure for deposits and untraceable payments; owners also need controls against impersonated applicants, altered references and payment fraud.

Make the written lease match the real operating arrangement
Ask Cayman counsel to draft or review the agreement for the exact property and parties. The Law Reform Commission's current project page says the Residential Tenancies Law passed in 2009 is not yet in force. Treat that as a reason to avoid importing overseas assumptions and to make the written agreement, current Cayman law and fact-specific advice explicit. Keep negotiations, agreed changes, signatures, schedules and the final executed version together.

Confirm lease stamp-duty treatment from the current official route
Cayman Land Info says documents described as a lease, tenancy, agreement to lease, a licence granting exclusive possession or another document granting leasehold title are subject to stamp-duty assessment. It says assessment uses average annual rent over the term or market rent, whichever is higher, and that options extending the term are included while options to renew are treated differently. Confirm the current treatment, calculation, supporting documents, submitter, payment and proof for the exact agreement rather than estimating from this page.
- Record the final executed document, stated term, extension or renewal wording, rent schedule, chattels treatment, submission package, assessment, receipt and any official correspondence.
- Name who prepares, reviews, submits and pays, and by what deadline under current advice.
- Do not treat a draft, unsigned copy, prior lease, payment estimate or agent statement as official assessment or completed stamping.
- For unusual terms, licences, premiums, company arrangements or disputed values, obtain current Cayman legal and valuation advice.
Run deposits, rent and owner money through one auditable ledger
Create one ledger that separates application or holding money, security deposit, first or last rent, pet or utility amounts, recurring rent, reimbursements, fees, deductions, refunds and owner remittances. For each movement preserve the agreement basis, payer, payee, date, currency, invoice or request, bank evidence, cleared amount, receipt, balance and reviewer. Do not invent a universal Cayman deposit-holding or return rule; have the written lease and Cayman advice define the exact process.

Create one signed condition, inventory, key and meter baseline
Before possession, record each room and included outdoor or storage area; walls, ceilings, floors, windows, doors, fixtures, appliances, furniture and high-value chattels; cleanliness; known defects; meters; utility status; keys, fobs, remotes, codes and manuals. Use dated photographs and a written inventory, allow both sides to record disagreements, and preserve the signed or acknowledged baseline. This is evidence of recorded condition, not a technical inspection, valuation or acceptance of hidden defects.
- Keep the lease schedule, inventory, photographs, video where lawful, meter readings, utility account responsibility and unresolved repair list together.
- Separate ordinary condition observations from electrical, gas, structural, mould, water, fire, pest, pool, lift or other qualified assessments.

Separate strata, utilities, access, repairs and supplier decisions
Give the tenant the rules and contacts genuinely needed to operate the home: strata or house rules, parking, pets, guests, waste, pool or common areas, move procedures, emergency contacts and utility responsibilities. The Water Authority portal says customers can request services, pay bills, manage tenant accounts and review consumption history. Use each utility's current process and record owner/tenant account roles, start and stop dates, readings, arrears, deposits, access and final reconciliation.

Control tenant data, devices, cameras and record retention
Applicant IDs, references, employment records, leases, bank details, access logs, camera footage, repair messages, complaints and incident files can contain personal data. The Ombudsman lists eight data-protection principles, including fair and lawful processing, purpose limitation, minimization, accuracy, storage limitation, individual rights, security and international transfers. Build a property-specific collection, access, sharing, security, retention and deletion plan with Cayman advice rather than treating possession of a document as permission to retain or reuse it indefinitely.
- Name the controller or responsible entity, purpose, data categories, systems, administrators, recipients, overseas platforms, retention trigger and incident route.
- Restrict copies and shared folders; use multifactor authentication and revoke old owner, agent, manager, contractor and tenant credentials promptly.
- Review cameras, smart locks, alarm logs and connected devices for notice, placement, access, platform, strata, lease and legal questions before use.
- Preserve records subject to a real dispute or legal hold while avoiding an invented universal retention period.
Align insurance, incidents and hurricane duties before occupancy
Ask the insurer or broker in writing about the exact residential letting, occupancy, vacancy gaps, owner contents, tenant contents, liability, property management, strata cover, storm perils, deductibles, notification duties and evidence expected after loss. CIMA's 2026 hurricane guidance tells property owners to review coverage, deductibles, exclusions or sub-limits, sums insured and contents, and to use licensed insurance providers. Its register is a status-check route, not a coverage or suitability conclusion.

Run renewal, default, move-out and handover as separate projects
Maintain a calendar for term dates, review points, insurance, utilities, inspections as agreed, safety equipment, strata updates and required notices under current advice. Start renewal early enough to decide rent, term, occupants, pets, work, inventory, insurance and stamp-duty questions without accidental ambiguity. If payment, conduct, condition, access or another issue arises, preserve the facts and obtain Cayman legal advice before serving notices, changing access, withholding services, taking possession, applying money or disposing of property.
- Keep renewal proposal, negotiation, accepted terms, signatures, stamp-duty advice and updated schedules as one version-controlled file.
- For move-out, agree the inspection, cleaning, utilities, keys, access credentials, forwarding contact and evidence exchange without predetermining deductions.
- Reconcile deposit, rent, services, repair evidence, owner/manager fees, open disputes, final bills and receipts before declaring closeout complete.
- When owner, agent or manager changes, transfer only through written authority; revoke access and record which obligations, money and records remain unresolved.
