Use one decision register that separates eight lanes: exact property and intended use; contracting parties and authority; tenant, guest and strata interfaces; rent, deposits and owner money; maintenance and emergency limits; insurance and hurricane duties; personal-data and system access; and reporting, termination and handover. Do not let a broad promise to ‘manage everything’ replace named decisions, evidence standards, spending limits, escalation routes and records ownership.

Fix the exact property, owner, manager and operating model
Record the island, block and parcel or strata lot, address, parking and storage, registered or contracting owner, authorized signatory, manager legal entity, day-to-day contact, intended residential or visitor-accommodation model, occupancy state, strata context, lender and insurer contacts, and appointment start date. Verify the business through current DCI routes, but treat the result as a record check rather than proof of authority, competence, solvency, insurance, property access or fit.

Map every rent, deposit, fee and owner-money flow
Create a money map before the first collection or deduction. Identify who invoices, who receives rent or booking proceeds, where deposits are held, when funds clear, which fees and markups apply, how supplier invoices are approved, when the owner is paid, what reserve is maintained, which currency and bank charges apply, and how statements reconcile to source records. Independently verify new or changed payment instructions through known authorized channels.

Control tenants, guests, strata and possession records
Give each tenancy or booking a stable file tied to the exact property and authorized operating model. Preserve the executed terms, parties, occupancy dates, payments, deposit, inventory, keys, meter or utility handoff, notices, maintenance requests, incidents, correspondence and move-out or turnover record. For strata property, separately record applicable bylaws or house rules supplied, access and parking controls, common-area contacts and who may communicate or vote for the owner. Use counsel for legal rights, notices and disputes.
- Do not let a manager summary replace the signed tenancy, booking, inventory, payment and notice records.
- Keep owner, tenant, guest, manager, brokerage, strata and supplier roles separate even when one company performs more than one role.
- Record vacant, owner-use, staff-use, maintenance-access and guest periods so insurance, utilities, security and revenue records use the same occupancy timeline.
- Do not infer authority to sign, renew, terminate, evict, settle or waive from routine correspondence or prior conduct.
Set maintenance, inspection and emergency spending controls
Define how issues are logged, triaged, photographed lawfully, quoted, approved, assigned, accessed, completed, invoiced and checked. Name ordinary, urgent and immediate-safety lanes, with spend and communication limits for each. A manager visit or contractor invoice does not diagnose cause, prove code or safety, establish responsibility, confirm durable repair or authorize a deduction. Use the appropriate qualified trade, inspector, engineer, insurer, strata or attorney for the exact question.

Tell the insurer the exact use, occupancy pattern, vacancy periods, manager role, rental or visitor use, strata context, security, storm protection and maintenance arrangements. Record who monitors official alerts, secures outdoor items, handles shutters only if safely authorized, checks access, protects records, communicates with occupants, documents damage, contacts emergency services and insurer, and manages post-storm access. CIMA and Hazard Management sources support the regulated-insurance and preparedness perimeter; they do not confirm coverage, duties or safe actions for one property.

Control personal data, cameras, portals, keys and credentials
Property management can involve owner, tenant, guest, applicant, visitor, employee and supplier personal data across email, messaging, portals, booking platforms, cameras, access logs, ID files, payment records and overseas systems. Ask Cayman counsel or a data-protection professional to map roles, purposes, legal bases, notices, access, retention, processors, transfers, rights requests and incident response for the actual operation.

Require decision-ready reporting and an exception register
Agree the frequency, delivery route and source evidence for owner statements, occupancy, arrears, deposits, work orders, supplier invoices, property observations, incidents, insurance or licence dates, complaints, open legal or strata questions and forecast cash needs. Every unresolved item should have an owner, next qualified answer source, deadline and impact. Dashboards are summaries; preserve exportable records that survive a staff, system or manager change.
- Reconcile reports to leases or booking records, bank evidence, receipts, invoices, work orders and owner approvals rather than accepting totals alone.
- Separate factual status, manager recommendation, professional conclusion and owner decision.
- Use stable issue and document identifiers so records remain traceable after email subject lines, portal labels or staff change.
- Record complaints, conflicts, related-party suppliers, missed service levels and disputed money without turning the manager into the sole reviewer of its own work.
Plan termination and complete the owner handover before access ends
The exit plan should start when the agreement is signed. Record notice form and timing as advised, fees, live tenancies or bookings, deposits and balances, supplier commitments, open work, claims, complaints, keys, codes, listings, calendars, photographs, reviews, licences, documents, personal data, bank or payment settings, utilities, strata contacts and continuing obligations. Ask counsel what must transfer, be retained, be deleted, be notified or remain restricted. Do not close the file from a final statement alone.
