A tank label, bill, permit, invoice, recent refill, prior service or normal-looking appliance does not prove current contents, approval, installation condition, safety, compliance, responsibility or future performance.

Fix the exact property, system boundary, access, and deadline
Record the island, block and parcel, address or unit, private and common areas, purchase or lease stage, lender or insurer context, decision deadline, lawful access controller and principal decision-maker. State whether the representation concerns portable cylinders, a fixed tank, common storage, generator fuel, appliance supply or more than one arrangement. Do not enter a restricted tank area, open an enclosure, move equipment, trace lines, or infer title, lease, strata or responsibility from location.

Build one asset register for every represented tank and cylinder
Transcribe only supplied plans, labels, invoices, supplier records or qualified reports. For each represented asset, record the fuel description, fixed or portable arrangement represented, manufacturer/model/serial if supplied, documented capacity and unit, ownership or rental representation, location, installation or replacement date, connected systems, barriers or enclosure represented, and inaccessible or unverified fields. Do not approach, measure, weigh, move, open, refill, exchange, disconnect or infer contents or condition.

Keep portable, fixed, common, generator, and appliance arrangements separate
“Propane system” may describe several arrangements with different records and controllers. Create a separate row for each portable-cylinder supply, fixed storage tank, shared or strata supply, generator fuel source, metered or unmetered distribution, and appliance connection represented. Link only records that share the same property, asset or system identifier and date. A generator with propane storage remains both a backup-power question and a fuel-storage question; one record does not close both.

- Keep supplier account ownership, physical tank ownership, premises operator representation, appliance ownership and repair responsibility as separate fields.
- Do not draw an installation diagram from appearance or follow piping through restricted, concealed or unsafe areas.
- Treat missing identifiers and conflicting capacities as questions for the responsible official, supplier, property party and qualified gas professional.
Check the OfReg record without deciding permit applicability
OfReg currently publishes a premises operating-permit threshold of 250 imperial gallons or more in aggregate and says the perimeter includes private residences and propane or LPG. Preserve that exact quantity, unit and aggregate concept, then ask OfReg or the responsible qualified adviser how the exact premises, operator, storage arrangements and current facts are treated. Being below the published threshold does not establish that a smaller system is approval-free, safely located, correctly installed or outside Planning, Building Control, fire, supplier, landlord, strata or insurance requirements.

Planning separates permission, Building Control permits, discipline review, inspections and final or certificate stages. Its dated 2020 generator and storage-tank form supplies useful identity prompts—tank type, propane, volume, parcel and plan information—and notes a generator with a propane tank as separate applications. Use it as dated question architecture, not current universal filing instructions, fees, quantities or proof. Preserve every exact application, drawing, revision, condition, permit, review, inspection, final record and later alteration separately.

Attribute every event and distinguish a report, attendance, diagnosis, repair design, work completed and post-work review. Sequence is not cause; an invoice, recent service, quiet period or absence of disclosed incidents does not prove condition or future performance.

Keep a viewing non-operational and the emergency lane separate
From an ordinary lawful position, a file may record a supplied label, represented location, barrier, visible damage or staining, posted contact, inaccessible area and who made the observation. It must not become an inspection or operation. If gas is suspected, equipment appears damaged, there is fire or another immediate danger, leave the area, follow official emergency instructions and call 911. Do not search for the source, operate switches or devices, isolate a valve, move a cylinder, re-enter, troubleshoot or attempt to make the system safe.
- Do not ask a buyer or tenant to test an appliance, flame, valve, regulator, detector, alarm, ventilation path or generator fuel supply.
- Do not enter a restricted tank or cylinder area, remove a cover, open an enclosure or approach suspected damage.
- Keep posted emergency information, supplier emergency contact, property controller and 911 records as separate handover items.
