Short answer: close four files, not one
Before treating the withdrawal as complete, close the contract, money, records, and child-transition files. School-owned policies differ materially, so the signed current contract and written answer from the school control—not another school’s notice period, an older PDF, or a parent-group summary.
- Find the signed enrolment or re-enrolment contract, the fee schedule for the relevant academic year, and every incorporated policy.
- Identify who must give notice, how it must be delivered, when it is treated as received, and which withdrawal form is required.
- Ask the business office for the written financial effect before assuming instalments stop when attendance stops.
- Request and download academic, support, health, attendance, invoice, receipt, and decision records before the child’s final day.
- Confirm the receiving school has the direct-send records, reference, transcript, and child-specific handoff it requires.
Start with the current contract version
A school website can provide useful public guidance, but the family’s signed contract may contain the operative notice, fee, refund, deposit, record-release, dispute, and extraordinary-circumstance terms. Save the version that governed the child’s place and ask the school to identify any later document it says applies.

Current first-party pages show why a universal Cayman private-school rule would be misleading. Use these examples to build questions, then verify the exact current terms for your child. Do not copy a notice period, fee percentage, or record-release rule from one school into another contract.

Build the written-notice evidence pack
A defensible notice file shows what was sent, by whom, to whom, when it was received, which last day was requested, and what the school accepted. Keep the child’s welfare explanation concise and separate from any contract or fee disagreement that requires professional advice.
- Use the school’s required form or portal workflow and send any separate notice to the contract-named recipient.
- Include the child’s legal name, student ID if used, year group, requested final attendance date, and receiving-school or destination information only where required.
- If both parents or guardians must sign or consent, resolve that before the deadline and preserve authority documents where relevant.
- Request written acknowledgement that states the received date, accepted final day, notice treatment, next steps, and school contacts for finance and records.
- Save the submitted form, email headers, portal confirmation, attachments, delivery proof, acknowledgement, and any corrected version as PDFs outside the school portal.
Get the final-account position before the last day
Attendance, invoicing, and contractual tuition liability may not end on the same date. Ask the business office for a child-specific written statement rather than estimating from an instalment schedule. This page is an evidence checklist, not contract or legal advice.

Download the portal before access changes
CIS expressly warns families to download student documentation before portal access is revoked on the final day. Even where another school does not publish that rule, use it as a practical control: export the family’s complete record while access works and request official versions that are not yet available.
- Current and prior report cards, transcripts, assessment results, attendance summaries, subject or credit records, certificates, and exam information.
- IEPs, learning plans, accommodations, specialist reports already held by the school, therapy or counselling summaries, and relevant pastoral handoff notes.
- Immunisation, allergy, medication, health, emergency-contact, custody, consent, and authorised-pickup records that the family is entitled to retain.
- Invoices, receipts, fee schedules, signed contracts, re-enrolment documents, deposit evidence, credit notes, and final-account correspondence.
- School calendars, course descriptions, curriculum maps, reading lists, activity records, and other evidence the receiving school says it needs.
- Keep sensitive records in secure family storage and send them only through a method accepted by the receiving institution.
Control the direct-send records and references
Some records can be downloaded by a parent; others must come directly from the registrar, counsellor, teacher, or school office. Give the sending school enough lead time before holidays, staff departures, account closure, or the final day makes the request harder to complete.

Sequence the receiving school and relocation
Do not create an education gap by closing the current place before the next route is credible. Acceptance, immigration or residency evidence, housing, flights, exam timing, support review, and the receiving school’s records deadline can all change the safest final day.
- Obtain written receiving-school status and conditions before relying on a place or resigning the current one.
- Map notice deadlines against term dates, new-school start, travel, housing access, work dates, exams, and any bridge-learning plan.
- If the receiving school is overseas, confirm grade or year placement, curriculum transition, visa or guardian evidence, health records, and original-document requirements.
- If the child may enter a Cayman government school, use the current DES registration process and do not assume a private-school exit creates a government-school place.
- Keep housing, flights, deposits, and current-school withdrawal as reversible as possible until the dependencies are written down.
Government-school withdrawal is a separate process
The current DES registration guidance describes a formal government-school withdrawal workflow, including a withdrawal form, principal and Attendance and Truancy Officer processing, supporting evidence, signatures or legal authority, and a submission deadline. Those rules do not become a private school’s policy, but families with children in both systems must run the two exits separately.
- Use the current DES page and form for a child leaving the government system; do not reuse a private-school email as the government withdrawal process.
- DES currently says the form should be submitted at least five school days before the intended last day and warns that late submission may delay processing.
- The supporting evidence varies with circumstances and can include both-parent identity or legal-authority evidence, a receiving-institution acceptance letter, travel evidence for an off-island move, and account clearance for specified cases.
- DES also says re-admission is not guaranteed after withdrawal and a new registration application is required if the family later returns.
- Recheck the live DES guidance because forms, evidence, contacts, and process can change.
Final-day and post-exit checklist
Close the school relationship with a clean evidence trail and a calm child transition. A disputed fee or missing record should be handled through the contract, school process, and appropriate professional channel—not through the child or an informal handoff at the gate.
- Confirm the final attendance date, pickup, property return, device return, library or activity items, lunch/transport/after-care cancellation, and farewell plan.
- Collect the final report, transcript, reference confirmation, support and health handoffs, financial statement, payment or agreement evidence, and record-release confirmation.
- Remove stored payment methods or update portal contacts only after all required downloads and transactions are complete.
- Give the receiving school a one-page handoff tracker showing what arrived, what remains outstanding, who owns it, and the next deadline.
- Retain the full exit file outside school systems for future applications, exam records, immigration evidence, or a later account question.
