A profitable company, strong turnover, accountant letter, pre-approval or large account balance proves only its stated scope.

Define the income model before collecting documents
Write a one-page map of how the applicant earns and receives money. A lender may need different evidence for a company owner paid by salary, a sole trader, a partner, a contractor with several clients, a commission earner, a landlord or an applicant using income from more than one country. Use the lender's current written categories rather than choosing labels for underwriting convenience.

Build a financial-statement bridge, not a document dump
Cayman National's public mortgage checklist currently identifies company financial statements for applicants who own a company, while other lender checklists use their own evidence sets. Ask the intended lender for the required periods, format, recency and professional involvement. Then create a bridge showing exactly where every mortgage-application figure appears in the underlying records.

Reconcile business bank activity to the accounts
Statements should support the story told by the accounts, contracts and application rather than create a second unexplained version of the business. Keep the full requested statement periods and a transaction index for material or unusual movements; do not edit statement files or send screenshots when the lender requests formal records.
- Match the legal account holder, account number ending, currency and period to the stated business and financial statements.
- Trace major customer receipts, owner injections, intercompany transfers, borrowings, payroll, supplier costs, rent, taxes or statutory payments where applicable and debt service.
- Explain recurring cash deposits, returned items, overdrafts, sharp balance changes, dormant periods, related-party movements and large one-off receipts with source documents.
- Separate invoiced revenue, collected revenue, client money, borrowed money, refunds, asset-sale proceeds and capital contributions.
- Ask the lender what may be redacted; preserve unaltered originals and share only through verified secure channels.
Connect personal cash flow, lifestyle costs and liabilities
The lender may review the applicant's personal statements and obligations separately from the business. Create a current household ledger that shows what reaches the applicant, what leaves the household, and which commitments or guarantees could compete with the proposed mortgage. This guide does not determine affordability or tell a lender how to assess it.

Prepare credit reports and bank references to the lender's specification
Current lender checklists show that credit reports and bank references can be requested, especially where the applicant's history sits outside Cayman. Confirm who obtains each report, the acceptable issuer, addressee, date window, countries and account history. Do not order or transmit sensitive records through a link or contact that has not been verified.
- List every country where the applicant has recently lived, borrowed, banked or run the relied-on business and ask which reports are required.
- Match names, addresses, dates of birth, accounts and liabilities across the application, credit report and statements; document genuine differences.
- Ask whether bank references must be addressed to a named Cayman lender entity and sent directly by the issuing bank.
- Record disputed entries and the evidence or formal correction process without deleting or concealing them from the application file.
- A clean report, long bank relationship or reference letter does not prove affordability or approval.
Trace the deposit, closing costs and every business-to-person transfer
Keep the deposit and closing-money trail separate from the income case. CIBC Caribbean, Cayman National and Scotiabank materials all point applicants toward proof of down payment or source-of-funds evidence, but the exact request belongs to the responsible lender and transaction professionals. The source-of-funds file should show legal ownership, origin and movement without asking a reviewer to infer missing steps.
- Identify the amount and account for the deposit, stamp duty, legal fees, lender fees, valuation, insurance and remaining funds without using an estimated total as a final calculation.
- For retained business profits or distributions, preserve the accounts, authority, payment record and personal receipt rather than transferring money without a documented basis.
- For an asset sale, gift, inheritance, loan, overseas transfer or investment redemption, keep the source event, ownership, account path and any requested professional records.
- Separate company money, client money, trust money, borrowed money and personal savings; do not move funds merely to make statements appear simpler.
- Use the dedicated source-of-funds checklist and obtain accounting, legal or tax advice for the exact transfer where needed.
Keep borrower approval separate from the property file
A self-employed income review can progress while property, valuation, title, strata and insurance conditions remain unresolved. Do not let a borrower-focused pre-approval become an unconditional purchase commitment. Ask the lender to state whether a decision is indicative, borrower-only, property-specific, conditional or final.

Run a dated conditions and document-freshness register
Self-employed files can change while underwriting is in progress. Track every requested item, responsible person, requested format, issue date, expiry or refresh date, submission channel, lender receipt and decision. Scotiabank's public checklist gives examples of dated-document windows, but another lender may use different periods or ask for refreshes at any stage.
- Separate application received, documents complete, credit reviewed, property accepted, valuation accepted, legal conditions satisfied, insurance confirmed, final approval and drawdown ready.

- Keep superseded documents and decision messages so the file shows what was reviewed at each stage.
- Do not describe the mortgage as approved or unconditional unless the lender's current written status supports that exact wording.
Protect high-risk personal and business information
A self-employed mortgage pack can contain passports, addresses, signatures, company ownership, payroll, customer data, account numbers, financial statements and credit records. Confirm the institution and recipient through official channels, use the lender's secure method, minimize unrelated data and preserve a disclosure log.
- Verify the regulated institution through CIMA's entity search where relevant and confirm the exact lender entity named on the application and correspondence.
- Do not send a complete pack to an unverified broker, messaging account, personal email address or payment link.
- Ask before including client names, employee data or unrelated transactions and use lawful redaction only where the receiving lender agrees.
- Record what was shared, with whom, why, when, by which method and whether the copy should later be deleted or refreshed.
- If a lender complaint arises, preserve the lender's internal complaint record before considering CIMA's published complaint route.
Close with a reconciled lender and adviser handover
Before relying on the file, produce a final index that connects the application figures to the source records and lists every unresolved question. The right outcome may require the lender, Cayman attorney, accountant, tax adviser, valuer and insurer to answer different parts; one professional's work should not be stretched beyond its scope.
- Freeze the application version, borrower and business structure, relied-on income figures, liabilities, deposit source, property, price and requested facility.
- Attach the financial-statement bridge, bank-statement index, personal cash-flow ledger, credit/reference record, source-of-funds map and conditions register.
- List every assumption, unusual transaction, missing period, stale document, pending explanation and professional question rather than hiding it in email threads.
- Obtain the lender's current written status and remaining conditions; obtain separate legal, accounting, tax, valuation and insurance advice where the file requires it.
- Keep final approval, signed facility documents, funds evidence, insurance, valuation, legal closing and registered records in the long-term property file.
