Short answer: connect the seller, promised property, money, approvals and completion evidence
Keep ten lanes separate: seller and development identity; exact property interest; contract and specification; deposit and payment custody; Planning and Building Control records; construction progress; finance, valuation and insurance; delay, variation and assignment terms; strata and common-area delivery; and inspection, completion, registration and handover. No single brochure, application number, receipt, progress photograph, certificate label, lender email or key release closes the whole chain.
| Lane | Preserve | Do not infer |
|---|---|---|
| Seller and property | Exact contracting entity, authority evidence, project, phase, parcel or proposed strata unit, parking, storage, common areas and final title path represented. | That a brand, trading name, show unit, company search, plan or marketing description proves ownership, authority or final title. |
| Money and delivery | Reservation, deposit and stage-payment terms; verified payment route; receipts; completion definition; long-stop or delay language; final records and unresolved items. | That money is protected, refundable, earned, recoverable or safe because it was requested, receipted or paid through a familiar institution. |
Fix the exact seller, project, phase, property interest and buyer decision
Record the seller's exact legal name, registration or licence evidence supplied, signatory and authority route, development name, island, block and parcel, phase, building, proposed unit or house, parking and storage, strata or other ownership model represented, intended use, buyer name or entity, decision date and evidence custodian. Ask Cayman counsel to state what property interest the contract actually offers now, what must exist later, and which records must match before another payment or completion step.
| Identity control | Capture | Keep open |
|---|---|---|
| Seller and authority | Registered entity, trading names, registered office, authorised signatory evidence, developer or contractor roles, receiving account name and professional advisers represented. | Ownership, authority, solvency, licensing, good standing, project rights or payment entitlement. |
| Property interest | Current parcel and register evidence supplied, proposed subdivision or strata path, plans, boundaries, unit identifier, parking/storage and common or limited-use areas. | That the marketed unit already exists as a separately registrable interest or will be registered exactly as shown. |
Freeze the signed contract, specification, drawings and marketing boundary
Create a version register for the reservation, sale agreement, addenda, disclosure material, architectural drawings supplied, room schedules, finishes, appliances, systems, landscaping, parking, storage, amenities, future phases, completion assumptions, buyer selections and approved changes. Ask counsel which documents are binding, informational or marketing only, how inconsistencies are resolved, and which representations survive signing or completion. Preserve superseded versions rather than overwriting them.
| Contract lane | Evidence | Question owner |
|---|---|---|
| Private property | Dimensions only as contractually or professionally supplied, rooms, finishes, doors/windows, fixtures, appliances, systems, external space, exclusions and tolerances represented. | Cayman counsel and the relevant project professional for which document controls and how substitutions or omissions are handled. |
| Development promise | Roads, drainage, utilities, landscaping, security, pool, lift, generator, refuse, amenities, common areas, future phases and target delivery evidence. | Which items must exist at payment, completion, possession or later, and what written consequence applies if they do not. |
Build a deposit, stage-payment and verified-instructions register
For every proposed payment, preserve the exact contractual trigger, amount and currency stated by the authorised party, due date, named recipient, receiving-account evidence, independent call-back route, professional advice, invoice or demand, proof of transfer, receipt and allocation. Keep reservation money, contract deposit, construction-linked payment, upgrade payment, closing balance, duty, registry fees and professional fees as separate records. Do not rely on emailed bank changes without independent verification.
| Payment control | Required record | No shortcut |
|---|---|---|
| Before sending | Contract clause or authorised written demand, trigger evidence, account name, bank and currency, independent verification, payer approval, payment reference and deadline. | A logo, familiar email thread, urgent message, pro forma invoice or previous account into verified current instructions. |
| After sending | Bank confirmation, recipient receipt, exact allocation, balance update, disagreement log, next trigger and permanent closing-file copy. | That a receipt proves contractual entitlement, protection, refundability, construction progress, title delivery or final settlement. |
Reconcile Planning, Building Control, file-request and project records
The Department of Planning publishes separate resources for the development process, Building Control Unit, Online Planning System and file requests. Use those routes to identify the exact project or application records available, then preserve the application and project identifiers, decision and conditions, approved or supplied plan revisions, building-permit material, inspection records supplied, outstanding items, final-inspection evidence and certificate type, number, date and scope represented. An application, permission, permit, inspection or certificate is not the same thing as the next stage.
| Official lane | Preserve | Do not conclude |
|---|---|---|
| Planning and permit | Application/project IDs, applicant, parcel, description, decision, conditions, drawings and revisions supplied, permit stage and source/date of each record. | That submission means approval, approval means permit, or permit means built-as-approved, complete, defect-free or insurable. |
| Inspection and certificate | Inspection requests/results supplied, corrections, reinspections, external-agency items, final stage and exact certificate evidence. | That one inspection or certificate proves whole-property condition, contractual completion, title readiness or safe occupation for the buyer's case. |
Measure progress against defined evidence, not photographs or percentages alone
If a payment, finance condition or relocation decision depends on progress, require a written basis for the milestone and who is authorised to assess it. Preserve dated site reports supplied, photographs with location context, professional certifications or valuations where commissioned, changes from the baseline, outstanding approvals, access limits, weather or supply issues represented, cost-to-complete questions, target dates and disputed items. A percentage or photograph can be useful evidence without proving value, completion, payment entitlement or future timing.
| Progress question | Evidence file | Boundary |
|---|---|---|
| Milestone reached? | Contract definition, exact work scope, assessor and reliance rights, date, site access, report, exclusions, variation status and authorised response. | Move to Cayman does not measure work, certify value, approve a draw, diagnose delay or decide whether a payment is due. |
| Programme changed? | Original and current programme supplied, critical dependencies represented, notices, revised dates, buyer decisions, finance/lease/storage/school impacts and fallback plan. | A revised target into an enforceable promise, guaranteed completion date or legal entitlement. |
Keep financing, valuation, insurance and buyer cash deadlines aligned
A lender's mortgage page or checklist is only that lender's public starting point. Ask the exact lender to confirm how it treats an incomplete or off-plan property, valuation timing and reliance, expiry and revalidation of approval, borrower evidence, deposit source, stage payments, completion notice, title or charge registration, insurance, life cover, currency and final funds. Separately obtain property-specific insurance advice for construction, unfinished-property, buyer-interest, hurricane, occupancy and transition-to-owner or strata cover questions.
| Finance lane | Preserve | Keep separate |
|---|---|---|
| Lender and valuation | Written terms, approval conditions and expiry, valuation instruction and assumptions, progress or completion evidence, borrower updates, final draw and registration requirements. | Pre-approval, valuation, deposit payment, construction progress, completion notice and final loan availability. |
| Insurance and cash | Who insures what and when, disclosed open work, lender wording, deductible questions, binding evidence, buyer cash calendar and fallback if timing changes. | Project policy, contractor cover, owner policy, strata master policy, contents, liability, delay exposure and personal cash reserve. |
Diary delay, variation, substitution, cancellation and assignment questions
Ask counsel to map every date and notice route in the signed documents: target completion, long-stop or outside date if any, extension events, force-majeure wording, buyer-information duties, variation and substitution controls, price or tax changes, default, termination, refund, assignment or resale before completion, and dispute route. Record what happened, when notice was sent, who received it, what evidence supports it and which decision deadline follows. Do not assume a common market practice or another buyer's outcome applies.
| Change lane | Control | Do not infer |
|---|---|---|
| Project or specification change | Exact notice, affected drawing/specification, reason represented, contractual source, buyer consent question, price/time effect, revised record and unresolved advice. | That a similar substitute, revised render, later drawing or developer discretion automatically satisfies the contract. |
| Exit or transfer before completion | Contract assignment/nomination/resale language, consent, fees represented, buyer KYC, lender and duty questions, deadlines and professional advice. | A right to assign, a buyer market, a refund, a tax/duty treatment, developer consent or successful resale. |
Separate the private unit from strata, common areas and future phases
For a proposed condo or managed development, preserve the strata plan and by-laws supplied, unit boundaries, parking and storage, common and limited-use areas, initial budget, insurance, management appointment, service contracts, reserve assumptions, developer control, owner-control transition, amenity delivery, temporary arrangements and future-phase rights. Cayman's Land Registry publishes separate land-registration, forms/guidelines and strata resources; use the exact registered and project records rather than a sales plan alone.
| Development lane | Evidence | Question |
|---|---|---|
| Private versus common | Proposed and final plan evidence, boundaries, rights, parking/storage, systems, access and responsibility as professionally explained. | Whether the final registered interest and by-laws match the marketed use and buyer expectations. |
| Operating handover | Budget, levies, insurance, contracts, reserves, defects, keys/fobs, management, owner records, amenities, temporary works and future construction. | Who bears cost, risk or authority before and after strata registration or control transition. |
Define inspection, completion, closing, registration and possession as separate gates
Before the final balance or move-in decision, build a written gate list for independent inspection access, snag and specialist reports, completion evidence, unresolved works, lender and valuation clearance, insurance binding, final statement, verified funds, signing, stamp-duty and Land Registry submission, Tracking ID, registered records, utility readiness, keys and practical possession. The property's physical state, contractual completion, official certificates, financial completion, registration and safe practical occupation can occur on different evidence and dates.
| Gate | Close with | Never collapse into |
|---|---|---|
| Completion and payment | Exact completion notice, evidence required by contract and advisers, inspection/open-item schedule, lender/insurance response, final statement and authorised funds decision. | A site visit, finished appearance, certificate label, developer email, valuation, invoice or key offer. |
| Registration and handover | Signed instruments, submission receipt and tracking, registered evidence, strata/title records, insurance, utilities, manuals, warranties, keys, open items and responsible owners. | Submission, receipt, Tracking ID, possession or occupancy into final registration or complete closeout. |
Close with a permanent off-plan purchase and first-90-days file
Keep one version-controlled pack containing seller and authority records supplied, exact property-interest evidence, signed contracts and specifications, official project and approval records, payment instructions and receipts, progress reports, notices and changes, finance/valuation/insurance evidence, inspection and snag records, completion and closing statements, registration tracking and final records, strata/common-area handover, warranties, manuals, utilities, keys and every unresolved item with its owner and deadline.
- Keep a fallback rental, storage, school, travel and shipping plan until the responsible legal, finance, insurance, technical, utility and household gates are satisfied.
- Do not share passports, bank records or source-of-funds evidence outside a verified recipient, purpose, minimum-data and secure-transfer process.
- Preserve every payment verification and receipt without publishing account numbers, identity documents, signatures, access codes or private legal advice.
- Use independent Cayman legal advice for the exact contract, title, payment, delay, assignment, duty and registration questions before waiving a condition or releasing money.
- Use a calm local review to organize the evidence and professional handoffs, not to replace developer obligations, inspections, lender approval, insurance or legal advice.
